Privacy Policy

SnapyFile is a free, no account file conversion and editing tool. When you use a tool, your file is uploaded to our server only for the moment it takes to complete the operation you requested, then it is permanently deleted, typically within seconds. We do not use a database to store your files, we do not build a backup of them, and we do not read or inspect their contents except where a specific tool (Chat with PDF, Translate PDF) requires reading text to perform the exact function you asked for. We do not sell your data, and we do not currently use cookies, analytics, or advertising on this site.

2.1 Files You Upload

When you use any SnapyFile tool, your file is:

• Uploaded to our server and saved temporarily in a private, randomly named folder
• Processed using the specific operation you requested (for example, merging, compressing, converting, or watermarking)
• Returned to you as a download
• Permanently deleted from our server immediately afterward, typically within seconds, whether the operation succeeds or fails

We do not store, review, copy, back up, or retain your files after processing completes. We do not use your files for any purpose other than performing the operation you requested, and we do not use your file content to train any AI model.

Exception, Chat with PDF and Translate PDF: these two tools work by reading the text content of your document in order to answer your question or produce a translation. For these tools only, the extracted text is sent to Google's Gemini API (a third party AI service) to generate the response. See Section 5 for details on this transfer. No other SnapyFile tool reads or inspects your file's content.

2.2 Information You Provide to Us

If you contact us through our Contact form, the information you submit, typically your name, email address, and message content, is stored in our database and reviewed by our team through an internal admin dashboard so that we can respond to you. If you email us directly, we receive whatever information you choose to include in that email. Either way, we use this information only to respond to your inquiry and do not use it for marketing without your separate consent, and it is not visible to other users of the Service.

2.3 Automatically Collected Technical Information

Like any web service, our hosting provider automatically logs basic technical information with each request, which may include your IP address, browser type, device type, and the page or endpoint accessed. This is standard server log data used for security, abuse prevention, and diagnosing technical issues. It is not run through any analytics platform.

2.4 Cookies and Similar Technologies

We do not currently use cookies, analytics tools, or advertising technologies on SnapyFile. If this changes in the future, we will update this Privacy Policy in advance and, where required by applicable law, request your consent first.

We use the limited information described above to:

• Operate, maintain, and secure the Service
• Perform the specific file operation you request
• Respond to inquiries submitted through our Contact form
• Diagnose technical issues and monitor server performance
• Comply with applicable legal obligations

We do not sell your personal information or your document content to any third party, and we do not use your document content for advertising or AI training purposes.

If you are located in the European Economic Area or the United Kingdom, our legal basis for processing your information is:

• Performance of a contract: processing your file is necessary to provide the specific tool or service you requested
• Legitimate interests: for basic security logging, abuse prevention, and service diagnostics, provided these interests are not overridden by your rights
• Consent: where we introduce any future feature (such as cookies or analytics) that legally requires your consent, which we will request separately at that time

We rely on a small number of third party providers to operate the Service:

• Hosting: our website and backend are hosted on Render. Render processes technical and connection data as part of delivering the Service; see Render's Privacy Policy for details.
• AI processing (Chat with PDF, Translate PDF only): for these two tools, the text extracted from your document is sent to Google's Gemini API to generate the requested answer or translation. This is the only scenario in which your document content is shared with a third party. See Google's Privacy Policy for how Google handles data submitted to its APIs.
• Database (Contact form submissions): information you submit through our Contact form is stored using Supabase, a database provider, so our team can review and respond to it via an internal admin dashboard. See Supabase's Privacy Policy for details.

We do not currently use any analytics or advertising services. Should this change, we will update this section in advance.

We select providers that maintain reasonable security and privacy standards, but each provider is responsible for its own practices, and we encourage you to review their policies independently.

Because our service providers (including Render and Google) may process data in countries other than your own, your information may be transferred to, stored, and processed in jurisdictions with different data protection laws than your home country. Where required, we rely on our providers' own compliance mechanisms (such as Standard Contractual Clauses) for these transfers.

• Uploaded and processed files: automatically deleted from our server, typically within seconds of your download completing, whether the operation succeeds or fails. We do not use a database to store your files and do not keep backups.
• Chat with PDF and Translate PDF text sent to Google: governed by Google's own data handling and retention practices for its API products; we do not separately retain a copy on our end after the response is returned to you.
• Contact form submissions: retained only as long as reasonably necessary to respond to and resolve your inquiry, after which they may be deleted.
• Basic server logs: retained only as long as necessary for security and diagnostic purposes, then routinely purged or aggregated.

We use HTTPS encryption for all data transmitted between your browser and our servers. Uploaded files are processed in temporary, isolated storage on our server and deleted immediately after processing. Because files are not retained beyond that short window, we do not separately encrypt them at rest.

We use reasonable technical and organizational measures appropriate to a free, no account service to protect the limited information we handle. However, no method of transmission or storage over the internet is 100% secure, and we cannot guarantee absolute security. You use the Service at your own risk with respect to matters outside our reasonable control.

Depending on your location, you may have rights under laws such as the GDPR (EU/UK), CCPA/CPRA (California), or similar frameworks, including the right to:

• Know what information we hold about you
• Request access to, correction of, or deletion of your information
• Object to or restrict certain processing
• Data portability, where applicable
• Opt out of the sale or sharing of personal information (we do not sell personal information)
• Lodge a complaint with your local data protection authority

Because we do not retain your file content after processing (except where Section 5 applies) and do not require an account, most requests can typically be resolved by confirming we hold no such data. To exercise any of these rights, contact us at snapyfile@gmail.com.

SnapyFile is not directed to children under 13 (or the relevant age of digital consent in your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.

We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. Material changes will be reflected by an updated "Last Updated" date at the top of this page, and where appropriate, we will provide additional notice. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
